Arborist Group

For estimators, contractors and project teams

We complete the arborist scope from tender to closeout

Send your tender, RFQ, RFP or consultant brief. The Arborist Group identifies every arborist requirement in the supplied package, fills in the relevant forms and pricing schedules, and prepares the supporting response. We then deliver the agreed reports, protection plans, site services and closeout records.

Tender forms, takeoffs, reports and site services. Toronto, the GTA and Southern Ontario.

One arborist firm for the full project scope

Send the full package, even if you do not yet know which parts need an arborist. We work with general contractors, civil and landscape contractors, architects, developers and property managers across Southern Ontario. You can bring us in before the report exists, at tender, after award or when an active site needs an arborist.

We can quote the full arborist package or the parts your team still needs. If another consultant prepared the report, send it with the approved plans and permit conditions. We review the requirements before we agree on the work and the documents we will issue.

You receive completed arborist submission documents in the requested format, with the work, price and delivery dates set out. We identify any information or signature needed from your team and return the arborist portion for inclusion in your submission.

Some projects need additional assessments. We also provide tree inventories, nest clearance surveys and butternut assessments. Send the applicable requirement so we can confirm the assessment scope, qualifications and timing. These are separate items rather than assumed inclusions in every construction quote.

We fill in the forms your submission needs

An estimator needs an arborist package they can put into the bid. We extract the requirements from the supplied documents and complete the arborist entries in your workbook, PDF forms or response template. We keep your item numbers, units and document references so your team can carry the price into its submission.

For insurance, WSIB, specialist credentials or other mandatory evidence, we check the actual requirement and confirm the supporting documents we can provide before you rely on the submission. For an early budget, we state the assumptions. For a tender quote, send the latest bid package and the deadline your estimator needs to meet. A response within 24 hours confirms the next step; the quote delivery date depends on the package. Send later addenda before you rely on an earlier price.

Use our arborist scope and takeoff checklist to assemble the package. The construction quote comparison guide shows how to compare the resulting prices.

The paperwork continues after the tender

We agree on the required output at each stage, including the recipient, file format and due date. The report and construction services can stay with the same arborist firm.

For inventory assignments, we also agree on tree identifiers, attribute fields, mapping and spreadsheet or GIS output before field collection. See our tree inventory service for the available deliverables.

The quote follows the work through construction

  1. Send the address, drawings, report and deadline. Tell us whether this is a budget, competitive tender or awarded project.
  2. We identify the arborist requirements, required forms, mandatory evidence and submission format. We confirm the completion scope and return date.
  3. We return completed arborist schedules and responses with the supporting quote and agreed attachments. Open items name the information or authorization needed from your team.
  4. After acceptance, we confirm the current approved documents, site access and the activities that need attendance.
  5. We perform the agreed arborist services and document the site work. Changed drawings or conditions require scope review before additional work.
  6. At closeout, we provide the agreed final inspection and records and identify any remaining arborist visits.

You keep an identifiable arborist scope from the first quote through the last agreed visit. The report, fencing and supervision can be coordinated through the same firm, while each service retains its own price and delivery requirements.

Clear responsibilities protect the programme

The Arborist Group supplies arborist reports and the agreed tree protection services. We do not sell tree removal. Tree removal, general excavation, landscape installation and other trades remain with the contractors named in your project scope. For root work, the quote states who supplies the equipment and who performs or supervises the work.

We complete arborist report and permit documentation, prepare the tree-related application information and respond to municipal arborist comments. We can include submission support in the scope with the required owner authorization. Owner declarations and the prime bidder's contractual commitments go to the authorized signatory. The municipality decides permits, conditions and acceptance. An arborist visit cannot authorize a design change or retrospectively certify work the arborist did not observe.

For Toronto projects, the City describes its review of completed work before it authorizes removal of protection measures and initiates a deposit refund. We can provide the arborist records agreed for that process. See Toronto's tree permit guidance.

Answers for estimators and project managers

Can you quote the arborist work from our tender drawings?
Yes. Send the drawings, specifications, existing arborist report, bid forms and addenda. We extract the arborist scope, prepare the takeoff and complete the relevant pricing entries. We identify any quantity that needs a site visit or clarification.
Can one company handle the report, fencing and supervision?
Yes. The Arborist Group can quote and coordinate those arborist services together, including agreed root work and closeout records. The quote lists the scope and price for each part.
Can you work from another arborist's report?
Send it for review. We can install and document protection fencing from another arborist's plan. For supervision or other site services, we confirm the report, permit conditions and any named-arborist requirements before accepting the work.
Is the report price the full construction arborist cost?
No. A report price covers the report scope. Fencing, root work, site attendance and closeout records must be included as separate quote items when needed.
Can you support a formal RFQ or RFP?
Yes. We complete the arborist pricing schedule, technical response and applicable supplier sections, then supply the agreed supporting documents. Send the original templates and mandatory requirements. We confirm qualification and availability requirements before committing. Your authorized bidder signs and submits the overall bid.
Can you complete our Excel schedule or PDF form?
Yes. Send the editable template, completion instructions and required attachments. We fill in the arborist portions and return them in the agreed format. For portal-only forms, send an export or the field requirements so we can prepare the entries for your bid team.
Do we need to identify the arborist scope first?
No. Send the full package. We identify the tree-related requirements across the report, drawings, specifications and supplied addenda, then complete the agreed arborist deliverables.
Do you provide the same package outside Ontario?
This tender service covers Toronto, the GTA and Southern Ontario. Send any other project location for an availability and scope check before relying on the offer.
