Privacy Policy

The Arborist Group is a small, independent arborist consulting practice serving Southern Ontario. This page describes the personal information we collect through arboristgroup.com and the connected client portal, why we collect it, where it is stored, and how you can ask us to access, correct, or delete it. We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA): we collect only what a request needs, we tell you why, and we do not sell what you give us.

What we collect

Quote requests. The contact form on this site asks for your name, email address, and phone number, plus the service you need and any details you choose to add. Phone number and details are optional; everything else is required to respond to you.

Client portal submissions. Partners who log in to submit a removal permit inspection request provide a property address, client name, phone number, and email address, along with tree measurements, condition notes, and site photos. This data is tied to a portal user account (username and a securely hashed password) rather than a public form.

Live chat. If you open the chat widget in the corner of the site, whatever you type is sent to Crisp, the chat provider we use, along with basic technical details like your browser and approximate location that Crisp collects to run the chat.

Property lookup tool. The map tool at map.arboristgroup.com sends the address you search to Mapbox for geocoding and map tiles, and to the relevant municipality's public GIS or open data service to retrieve lot boundaries and tree records for that address. No account or contact details are required to use this tool.

Site usage. We use PostHog to see how people move through the site: pages visited, specific buttons and links clicked, and how far someone got through the quote form before stopping. Session replay is on, but every form input is masked before it ever leaves your browser, so we cannot see what you typed into the contact form or the portal, only that a field was touched.

Server logs. Cloudflare, which hosts this site, keeps standard connection logs (IP address, request path, timestamp) for security and performance purposes, as most hosting providers do.

Where it is stored and who processes it

This site and the client portal run on Cloudflare's infrastructure (Workers, KV storage, and R2 file storage). Quote request details, portal accounts, job records, and uploaded photos are stored there. Quote requests and portal submissions are also emailed to us at info@arboristgroup.com.

PostHog processes the usage analytics described above. Mapbox provides map tiles and address lookups for the property lookup tool. Crisp provides the live chat widget. Cloudflare Turnstile runs a background check to confirm form submissions come from a person, not a bot.

Because these providers operate infrastructure outside Canada, some personal information may be processed or stored on servers in the United States or elsewhere, subject to those providers' own privacy practices.

We do not sell, rent, or trade personal information to anyone, for any reason.

How long we keep it

We keep quote requests and portal job records for as long as they're useful for the engagement they relate to and for our own business and tax records. There's no automatic deletion schedule at this time. We also keep backups of portal data and photos so that a hardware failure or account issue does not mean lost records.

Your choices

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email info@arboristgroup.com or call (647) 479-8778 and we'll handle the request directly; there's no ticketing system or portal to log into for this.

If you'd rather not be tracked by PostHog, browser extensions that block third-party analytics scripts will also block ours, since we don't treat analytics as required for the site to function.

Changes to this policy

If how we collect or handle information changes in a way that matters, we'll update this page and change the effective date at the top. Check back here if you want the current version.
